The purpose of remembering
the policy is to follow and implement
it.

Before policy announcement:(1)Clearly
and properly define work role and responsibility, (2) Policy Users’
Participation, (3) Questions be answered.
(1)Clearly and properly define work role and
responsibility:
Hypothetical premise:Everyone will
make efforts to achieve their work department work performance index (KPI).
Thus, the most importance is to define
work role and responsibility, that is to define「management activities work owners」 clearly.
Once
policy announced, the work owners「remember」to
initiate, execute management work activities to achieve the work KPI defined in
related work policies accordingly.
(2)Policy Users’ Participation:
Not all
policy users are policy designers, and the designers don’t know all the work
detail and feasibility of policy execution;it is

2008000201, before policy announcement, it is required to hold meetings to
discuss and gather opinion of policy implementation to increase its
completeness. By meetings participation, policy users know the management
mechanism and their own work responsibility of policy compliance; they remember
what the policy says accordingly.

This is
an extension issue of (2). By policy users’ participation, questions be
answered, answers may be not the same as policy users’ expectation, though,
these work procedures bring work consensus or conclusion among related work
roles, this reduces misunderstanding and obstacles when policy be exercising,
and users are able to react timely once exceptional occasion happens. To
increase the policy implementation is one of ways to remember it.

After policy announcement:(1)To keep policy users informed+ to
ensure policy users know their work and responsibility of policy compliance,(2)Inquiry
contact person and tool.

Besides policy announcement, there is also
-New-hired
orientation program needs to contain internal management policy
introduction or training for employees who are just hired, and after that, it
needs the new-hired to sign-off and confirm their attendance and understanding
of their work role and responsibility of policy compliance, especially for
those having significant legal issues, such as sexual harassment prevention,
information security protection (business confidential information, salary…etc.),
code of conduct (not everyone understands their legal responsibility of their: instigating
and spreading rumors, insulting others, deliberately misleading others… causing
negative impact on team morale and legal compliance) etc.
-Practicing:
Emergency
response plan.
(2)Inquiry
contact person and tool:Policy
users may not remember all policy detail, or, they don’t know, they forget…these
cause policy implementation not successful. However, once the users need to use
it, such as Level of Approval, internal documents and key work performance
index…etc., they seek for help to find answers; if the companies have established
specific inquiry contact persons or tool for seeking for the announced rules,
it helps to resolve related confusion. And this information also can be
included in new-hired orientation program.
